Leave Types

You can add other types of leave (such as appointments, study leave) by going to Admin > System Functionality > Leave > Absence Types.  Here you will notice that some are enabled while others are not.  Just click on the type you want to allow and enable it .  It will then be selectable when employees are requesting leave.

A new leave year for 2014

NOTE:  This applies to companies with a leave year from Jan to Dec although the actions apply to all companies through the year.

CompanyControls/EW Assist will roll over to the new year only when a leave request is booked for each employee.  Until then the previous leave year will be shown.

However as we are now in the new leave year you can override this and force EW Assist to roll over to 2014 for everyone at the same time by going to Admin > System Functionality (dropdown) > Leave > Leave Cycles (dropdown) > Bulk Process Adjustments (This Year).  This will create a new leave year for 2014 (if one hasn't already been created) and carry over any available entitlement from 2013 based on the 'Max Carry Fwd leave' field at Admin > Settings > Your Defaults (at the bottom of the page).

Process to roll over to a new year

Getting ready for a new leave year is almost automatic but there are a few things to consider:

1. Make sure you have the next year added in the calendars (working year (bank holidays) and Mandatory leave) that your staff use (you can check which ones are in use in Admin > Settings > Work Patterns (dropdown) > Bulk Display).  If it needs to be added just increase the 'Num Periods' e.g. from 4 to 5 to add 1 extra year at the bottom of the page.

NOTE: It's good policy not to add too many years ahead as this restricts how far in the future leave can be booked 

2. You should check the new year contains the correct bank holidays and mandatory leave days.  Add any that aren't there.

3. Leave years will be created for each employee when they book into that particular leave year HOWEVER if you want to add all the years in bulk you can by going to Admin > System Functionality > leave > Leave Cycles > Bulk Process Adjustment (This Year) and Bulk Process Adjustment (Next Year).  The choice of which to choose depends on the current date and which leave years you want to add.  No leave year will be created if it is already created and leave years can always be recreated.

4. With all the leave years bulk added above it allows for manual leave adjustments to be added for each employee to allow for manual carry over and manually added service days.  These can be added to the leave years by going to People > employee name > Leave (dropdown) > Leave Years > 2014.

Calendar years

The Calendars hold usually hold 4 years when they are set up and by default these are from 2011 to 2014.  A year must exist for leave to be booked into it.  This is a useful way of restricting leave being booked too far into the future.

To add a new calendar year you should go to Admin > Settings > Calendars (dropdown) > Your Calendars.  Click on the 'Working Year' calendar (usually called Default Working Year although you may have more than one) to open it and at the bottom of that page is the list of years added.  To add more, increase the 'Num Periods' (e.g. from 4 to 5) which will add 1 more year to the list below.  Open the newly added year to check the bank holidays are correct and add/remove/edit any Public Holidays where necessary.

Staff turnover reasons and reports

Knowing the rate of your turnover is just half the story.  Combine this information with why and you have a useful collection of information to help reduce the costly bleed of knowledge and replacement costs.

Your reasons can be broken into 2 categories.  The first is prepopulatd with Involuntary, Voluntary and unknown.  The 2nd can be used to capture your choice of common reasons for leaving your employment, some good examples being New job, Health reasons and Competency Issues.  There is also a free text area to collect more information if needed.  These reasons are managed by going to Admin > Settings > Lookup Tables > User > Reasons for leaving and Reasons for leaving detail respectively.

Now when you make an employee a leaver by going to People > Employee name > Person (dropdown) > Remove you will also be able to capture the reason why they have left.

The Starter/Leaver report in Reports > People > People (dropdown) > Starters/Leavers let you examine this information is detail.

Colour change to leave types

In the calendars you will now see that Annual leave is marked in blue and all other leave types such as training, working from home etc is Red.

The calendars are found by going to Groups (My details > Groups) > Leave > Calendar > Year | Quarter | Month.  Calendars are also available in Areas and its here that gives the best high level view.

Better control of job titles

You can now see the list of job titles by going to Admin > Settings > Lookup tables > User > Jobs or click:

The by clicking detail against the job title will open the edit page for that job.  The lists below show who has this job title linked to them.  There are two ways to link an employee to a job title.  The first is the main, default jpob title for that employee (changed on the people > persons > work page) and the second way is to link it via a Group.  Both ways are listed below.  You can move these people to other jobs.

If necessary you can make the job title un-live if it is not needed any more.

Seeing another groups leave

When someone has an interest to see the leave in another group as well as their own you can now add them to the other group.  You do this by going to the Members page in the Group itself and click Add New next to the Group membes title.

Once added they can then go to Actions > Leave > Planned Leave based on Group Membership and see not only the group they belong to but the groups they have an interest in as well.  Being a manager automatically gives that person an interest in the group they manage.

 

Monday 25th february 2013 Downtime

We are very sorry about the downtime you experienced yesterday.  We host our servers at CWCS datacenters and they had a significant network issue around midday that caused the problems we experienced.  None of our servers had problems other than they could not reach the internet.

Please accept my apologies but these things do happen from time to time and are difficult to predict.  It is important to note that we have had 4 years of uninterrupted up time before yesterdays issues which is impressive and largely thanks to CWCS and their consummate engineers.

I have included a Root Cause Analysis report from CWCS for your information.
