Base Leave Entitlement Vs Leave Years

The base leave entitlement is recorded for an employee at People > Employee name > Person (dropdown) > Work and at the bottom of the page is the field for the Base Leave Entitlement.

add) OR just add an adjustment to bring it in line with the Base leave entitlement.  To Recreate the leave year for someone go to People > Employee name > Leave (dropdown) > leave Years > 2014 and either add an adjustment or just tick the Recreate checkbox and click the Recreate Button. NOTE: You should recreate a leave year after updating the Base Leave Entitlement otherwise the newly added leave year will be added with the same base leave entitlement figure as it was previously.

To recap the Base leave entitlement field just keeps a record of the employees first year entitlement.  This figure should be without any adjustments for the new starter deductions (as the software will do this automatically). When the first and subsiquent Leave Years are created it will look to the Base entitlement to find how much to add. 

Changes to a particular year can be done to the leave year with an adjustment. 

Default information for a new employee

When you add a new employee at People > Add the form doesn't ask all the questions it could (e.g. whats the calendar, work pattern, phone numbers etc) and instead sets some of this info as it is instructed by the information at Admin > Settings > Your Defaults. 

If this info is going to be wrong (i.e. your adding a Ireland based employee and your default calendar is set as UK) then you will need to edit the employee slightly immediately after adding them (e.g. People > Employee name >  Person > Work).  Its good policy to check the details anyway even if you don't expect there to be any changes.

Once you are happy with their details you can release their Welcome Email at Admin > Settings > Email > Welcome Email. 

Better access to Return to work and sickness analysis records

When a Return to Work interview has been recorded you can now access it by going to People > employee name > Sickness.

Process to change the leave year

The process to change the leave year is as follows.

1.  Change the leave year

    a) If the leave year is the same for everyone you can update it by going to Admin > Settings > Your Defaults and find 'Leave starts on' and change the date.  The year in this choice is irrelevant, just the day and month.

  b)  If the leave year is different for each employee (e.g. birthday, start date etc) then go to People > employee1,2,3,etc > Person (dropdown) > Work and update the Leave starts on to 'Personal Cycle from date entered' and set the leave Starts on to the appropriate date.



2. Create the leave years

This will create any 2014 leave years that current don't exist.  Go to Admin > System Functionality > Leave > Leave Cycles > Bulk Process Adjustments (This year)

3. Check which years had already been created with the wrong start date

Go to Reports > Leave > Users leave > Cycles to see which employees have a wrong leave year with the wrong start date and highlight them

4. Remove and replace with a correct leave year

Go to People > employee with wrong leave year > leave (dropdown) > Leave Years > Current year (e.g. 2014) and Reset the year by ticking the Recreate tickbox and clicking the Recreate button.  This will remove the current leave year and replace it with the new one.

Leave Types

You can add other types of leave (such as appointments, study leave) by going to Admin > System Functionality > Leave > Absence Types.  Here you will notice that some are enabled while others are not.  Just click on the type you want to allow and enable it .  It will then be selectable when employees are requesting leave.

Process to roll over to a new year

Getting ready for a new leave year is almost automatic but there are a few things to consider:

1. Make sure you have the next year added in the calendars (working year (bank holidays) and Mandatory leave) that your staff use (you can check which ones are in use in Admin > Settings > Work Patterns (dropdown) > Bulk Display).  If it needs to be added just increase the 'Num Periods' e.g. from 4 to 5 to add 1 extra year at the bottom of the page.

NOTE: It's good policy not to add too many years ahead as this restricts how far in the future leave can be booked 

2. You should check the new year contains the correct bank holidays and mandatory leave days.  Add any that aren't there.

3. Leave years will be created for each employee when they book into that particular leave year HOWEVER if you want to add all the years in bulk you can by going to Admin > System Functionality > leave > Leave Cycles > Bulk Process Adjustment (This Year) and Bulk Process Adjustment (Next Year).  The choice of which to choose depends on the current date and which leave years you want to add.  No leave year will be created if it is already created and leave years can always be recreated.

4. With all the leave years bulk added above it allows for manual leave adjustments to be added for each employee to allow for manual carry over and manually added service days.  These can be added to the leave years by going to People > employee name > Leave (dropdown) > Leave Years > 2014.

Integrated Time and Attendance

You can now efficiently record punch clock information to deliver complete time and attendance information to Management.

Information such as Attendance, lateness, late within grace period, overtime, undertime, flexitime management, AWOL, Absent (Sick), Annual Leave, working earlies and working lates can all be captured and reported.

Staff turnover reasons and reports

Knowing the rate of your turnover is just half the story.  Combine this information with why and you have a useful collection of information to help reduce the costly bleed of knowledge and replacement costs.

Your reasons can be broken into 2 categories.  The first is prepopulatd with Involuntary, Voluntary and unknown.  The 2nd can be used to capture your choice of common reasons for leaving your employment, some good examples being New job, Health reasons and Competency Issues.  There is also a free text area to collect more information if needed.  These reasons are managed by going to Admin > Settings > Lookup Tables > User > Reasons for leaving and Reasons for leaving detail respectively.

Now when you make an employee a leaver by going to People > Employee name > Person (dropdown) > Remove you will also be able to capture the reason why they have left.

The Starter/Leaver report in Reports > People > People (dropdown) > Starters/Leavers let you examine this information is detail.

Colour change to leave types

In the calendars you will now see that Annual leave is marked in blue and all other leave types such as training, working from home etc is Red.

The calendars are found by going to Groups (My details > Groups) > Leave > Calendar > Year | Quarter | Month.  Calendars are also available in Areas and its here that gives the best high level view.
