Auto Save option on Appraisal forms

Appraisals can be lengthy forms to complete and take considerable thought and concentration.  The last thing you want to happen is losing any carefully constructed answers due to a poor internet connection or lack of battery power in your laptop.  With the new auto save option you can take your time completing your appraisal knowing that CompanyControls is regularly saving the document.

Employee files via our software rather than Email

Our software can be used to store the Employee document or make it available for the employee to read.  Either way it is a far better solution than that of email.  Firstly there is no certainty that an email has been read, even if the read reciept is requested it doesn't have to be sent by the recipient of the email.  Even with that sent there is no confirmation that the attachments on the email have been read.

Emails are notorious for being lost in transit, either before they reach their destination in spam filters or sent to the wrong address or missed in the volumes of emails that everyone recieves or deleted or mis-filed in the wrong email folder.  Even if the email arrives in the inbox it soon disapears off the first page.  Emails are not the registered post they once were.

Our software does use emails as notifications and alerts but their purpose is to direct the recipient to the system rather than impart too much information there and then.  For one reason the email is out of date as soon as it leaves our servers.  The only up to date information is in the software.

Our general premise is that an action takes place by one or more employees and when another employee logs in those actions are waiting and can be further actioned or completed.  You should think of our software as the pot of information that everyone can dip in to (securely and with proper access permissions).  When someone else logs in there may be a leave request waiting, an accident report to complete, a training course request to organise and so on.

Documents follow the same approach.   Documents are uploaded to our secure servers and are available for the employee to read as and when they are able to.  Your Company Handbook, guidance during Apprisals or Location information for training courses is on hand in an available location.  In short its available to refer to when it is needed.

Our software quietly keeps track of who has read which documents and when so in the case of an employee not seeing a memo or a revision to the handbook, you can check.

Emails simply do not offer the same access, controls, security or availability as we can offer.

This month's efforts have been on building a clever company wide contact list. Initially to be able to associate an injury with an external company's employee but could also be used to store ALL your contacts in one tidy and secure place. This has lead us to include a thorough, searchable contact management system that will be used in future business modules as well.

Company Contact List

Often company addresses and contact details are stored in spreadsheets and personal email software which are hard to share and become out of date or versions become out of sync with each other.  MyWebWorkplace's contact list allows your important contacts to be stored centrally.  The contact list is fully searchable by any user ensuring a contact name or number is never hard to find.

Although fields such as company name, address, phone and many other common choices are already available, any other field of your choosing can be added to suit your needs. This might include a credit limit, their carbon rating or even whether they are on your Christmas card list! [More]

Sensitive Information Protected

MyWebWorkplace holds all types of information to help your business to run more smoothly.  Some of this information is mundane and some is shared within the company.  Other information is, however, private or sensitive and because of this we have added an additional level of security to deter prying eyes on an unmanned, logged in PC.

If you have permission and want to view a page that holds sensitive information you will have to unlock the extra security before viewing the page.  You can remove the lock for a period of time and lock it again once you have finished so as not to interupt your legitimate browsing and leave MyWebWorkplace open in the knowledge that private information is perfectly safe.

No Waiting

We host MyWebWorkplace on our own dedicated servers to ensure the fastest and most reliable service possible.  Although this is obvious when you use MyWebWorkplace there is always a small delay when you click to see the next page/record as the request flys up to our servers and the data is returned.  While this might be only a few seconds, it can add up and we felt it goes against MyWebWorkplace's afforts to help streamline and speed up your business.

 Now, when browsing pages that run into multiple pages it takes no time to flick through and find what you're looking for, no time at all.

MyWebworkplace.net: New features

We are very please to announce the release of our most significant update to MyWebWorkplace yet.  It is especially important as it represents the transition from a comprehensive business absence management system to a multi-modular business management system (sometimes known also as a business automation system).  The priority in this release was to add the beginnings of an HR system but also to add more control and flexibility to our users access and permissions.  This will become increasingly more important as we add more business modules.

Here is a summary of our recent developments.

  1. New module: HR Lite - FREE WITH OUR EXISTING ABSENCE MANAGEMENT SOFTWARE - employee personal information collection such as home address & next of kin etc.
  2. Audit trail (log of changes to the employees personal information)

A mid month highlight of a few interesting and powerful additions to MyWebWorkplace.net

  1. Sickness triggers sends an alert email to a list of email addresses when predefined Bradford Factor levels are reached for an employee found in Admin > Settings > Email > Sickness
  2. A current Medical condition can be recorded for an employee and is included on the alert email found in People > name > sickness > Medical condition
  3. Bradford factor ranges and the consequence can be adjusted in Admin > Settings > Lookup Tables > Bradford Factor Ranges
  4. New Report: Annual Leave report found in Reports > Holiday/Leave > User Leave (defaults to all employees showing the next 5 weeks)

MyWebWorkplace.net: New features

Another busy month working on new features for MyWebWorkplace.net, many of which have been suggested by our clients.

  1. Specific Absence Types can be switched on and off to allow your employees to book to them
  2. New absence types (with associated rules) are available and include appointments and offsite working
  3. New rules available: minimum duration of absence request for a particular absence type (e.g. 0.5 days)
  4. New rules available: Maximum duration of absence request in the leave year (e.g 8 off site working days, 1 birthday)
  5. Bulk approval of leave requests that have not conflicted with any leave rules
  6. All employees who leave your employment will continue to be available in People > Leavers
  7. Better control of entitlement adjustments in People > employee name > Leave years, including summary of change in hours
  8. If a request becomes unable to be approved (due to a rule conflict) after it has been submitted for approval, the manager can now reject it but not approve it
  9. People > employee name > Holiday/leave now shows both current leave (i.e. in the future or outstanding) and completed leave (i.e. in the past or canceled/rejected/withdrawn)
  10. To use the 'Remember me for a day' feature on the login page, add https://mwwp.me/AbsenceManagement as a shortcut or bookmark, and use this to navigate back to the site.  Do not logout or go to http://mwwp.me/login as this will fry the security cookie that keeps you logged in.  If you need to login, MyWebWorkplace will take you to the login page automatically
  11. Mandatory Leave can now be added after the leave year has been created (NOTE: any new Mandatory days added must not be immediately next to an existing one)
  12. New Reports section on the left hand menu: initial reports are included in people and Holiday/leave.  More reports to come.
  13. New Directory section on the left hand menu: Company locations can be added in Admin > Locations/Contacts and then assigned to each employee in People > employee name > Edit > Work location.  Employee Company Phone and Mobile contact information can also be added here.  The directory is fully searchable by name, group and location
  14. Minor bug fixes

MyWebWorkplace.net: New features

Once again it is time for a long list of improvements that we have been busy making to MyWebWorkplace to ensure it's the best online absence management system on the market.

  1. Better email controls.  All emails can be turned on and off as required or just the leave or sickness one independently of each other.  This is a useful feature to use while adding leave and sickness that has occurred prior to setting up your MWWP site.
  2. Your managers can choose to not receive their email notifications of leave awaiting approval or sickness information and can choose a colleague to receive them instead.  If no alternative has been selected the system will hunt down the best alternative based on either the top admin user in their group, any admin in their group, any admin most closely related in the company or a specified email address.  The emails can also be CC'd to any of the above.
  3. Work patterns show the employees who are associated to them and those employees (individually or in groups) can be reassigned to another work pattern in just a few clicks.
  4. The reseller/partner portal has been improved with more controls and personalised sign up and login URLs.
  5. Groups and Areas are now hierarchical giving better permission controls and reporting facilities.
  6. More control when adding an entitlement adjustment.
  7. Links from the leave approval screen to employee and group information including quick access to the employees group calendar.
  8. More absence rules available to help manage leave requests.
  9. Annual increments (or annual service day awards) are calculated based on days or minutes to be added and any service year and now also percentages of base entitlement to calculate the number of days to be added.
  10. Draft leave requests are available to view in the Admin area.
  11. Minor bug fixes and usability improvements

The future of MyWebWorkplace is exciting, moving to manage more HR and operational areas of your business with the same care and attention as you have come to expect from us.

MyWebWorkplace.net: New features

We have been busy working on new features for MyWebWorkplace.net absence management, many of which have been suggested by our clients.

  1. Postpone delivery of welcome emails to new users: Being able to delay the sending of the welcome emails enables new clients to setup their system before allowing their staff to access it.  It also allows new employees in the future to be added to the system prior to the new employees email account being setup. Admin > Settings > Delayed Emails
  2. We have added more countries and their calendars to MyWebWorkplace, enabling access from 67 different countries. Admin > Settings >Lookup tables > Country codes
  3. We have added controls to manage each country’s time zones. Admin > Settings >Lookup tables > Time zones
  4. We have extended the life of the verification email sent to new employees from 3 to 28 days
  5. We have simplified the first login process for new employees
  6. We have added a new help facility directly to the system.  Once logged in, anyone can use it by going to HELP > Ask for help
  7. Help can also be requested by emailing support@mywebworkplacenet.zendesk.com
  8. A message can be displayed to all users as they log in by going to Admin > Settings
